Trainer agreement

Matchletics shows your profile and sessions to athletes, handles bookings in your schedule, sends confirmations and reminders, and gives you messaging with athletes and a payment page per booking.

We do not promise a minimum number of bookings.

You work as an independent business, not as an employee of Matchletics. You set your own prices, times and way of working.

You are responsible for your qualifications and certificates, permits, taxes and VAT, and for appropriate (professional) liability insurance.

What you put on your profile is correct: your name, photo, experience, certificates, prices (including VAT if you must charge it) and times. You keep your availability up to date so athletes do not book times when you cannot.

You honour confirmed bookings. If you cannot make it after all, cancel as early as possible and refund any amount already paid in full.

Matchletics reviews new profiles before they go live and may refuse a profile or take it offline if it does not comply with this agreement.

Athletes pay you directly. For this you enter your payment link (for example from Wix, Tikkie, Mollie, Stripe or your bank) and/or your IBAN and account name in Matchletics. Athletes only see these details on the payment page of their own booking.

You confirm in the app that a payment has arrived, no later than 7 days after you received the money. You give the athlete a receipt or invoice on request.

For every session booked and paid through Matchletics, you owe Matchletics a commission of at least 10% and at most 20% of the session price (including VAT) paid by the athlete.

Your percentage is shown in the app under Payment details. You start at the Matchletics standard rate. Matchletics may change your percentage within the 10% to 20% band; we announce this at least 30 days in advance. If you do not agree, you may terminate the agreement before the change takes effect.

You pay no commission on free sessions, cancelled sessions and sessions you have refunded in full.

If Matchletics must charge VAT on the commission, that VAT is added to the commission on the invoice.

After each month, Matchletics sends you an invoice for the commission on the sessions confirmed as paid in that month. You can see per session what is on the invoice.

You pay the invoice within 14 days. If you do not pay on time, we send a reminder. If payment still does not follow, we may charge the statutory commercial interest and take your profile offline until everything is paid.

Enter your business name, Chamber of Commerce number, VAT number and billing address under Payment details so we can address the invoice correctly.

You confirm payments honestly. You do not encourage athletes who found you through Matchletics to book or pay outside Matchletics to avoid the commission.

Matchletics may ask athletes whether a session took place and was paid. If a paid session was not confirmed as paid, or bookings were made outside Matchletics to avoid commission, you still owe commission on those sessions and Matchletics may terminate the agreement immediately.

You use athletes' data (name, email, booking, notes) only to give the session and keep your records. You do not share it with others and do not keep it longer than necessary. You treat health information an athlete shares with you confidentially.

You are responsible for your own records under the GDPR.

You are liable for the sessions you give. You indemnify Matchletics against claims from athletes or others relating to your sessions.

Matchletics' liability towards you is limited to the commission you paid Matchletics in the 12 months before the damage, except in case of intent or gross negligence by Matchletics.

This agreement runs for an indefinite period. You can terminate at any time by having your profile taken offline or deleting your account. Commission on sessions before termination remains due.

Matchletics may terminate the agreement with 30 days' notice, or immediately if you seriously breach this agreement.

We announce changes to this agreement at least 30 days in advance. This agreement is governed by Dutch law. Disputes go to the competent court in the Netherlands.
